We are currently recruiting for a Business Services PA to join our London office on a 6 Month Fixed Term Contract.
Department purpose
Business Services provides excellent client care and technical expertise in the following areas: Hospitality Services (Front of House, Catering, Communications Centre, Contract Operations & Health & Wellbeing Centre) Document Services (The Bridge, Practice Support, Scanning & Electronic Bibles, Legal Records Management, Document Checking, Document Production, Creative Services and Reprographics), Engineering, Security, Business Continuity, Real Estate, and Building Fabric & Projects. Delivering a seamless service to all clients. Business Services delivers both business operations and strategic advisory services to the Firm including complex projects, for example real estate projects.
Role Purpose
Supporting the Global Heads within the Business Services department as well as the wider senior management team. The role involves assisting with various and widespread activities that come from a busy team.
The role will develop relationships within the Business Services senior leadership team in London and, sometimes globally, supporting the various workstreams that arise from projects. It requires a high degree of organisational intelligence as it interfaces with all components of the organisation. The role includes complex diary management for the heads of department and involves multitasking and meeting tight deadlines.
Role and responsibilities
Manage complex diaries, arrange high-level meetings, and book travel and accommodation.
Maintain databases accurately.
Update calendars daily, ensuring all relevant parties are informed of changes.
Effectively manage schedules, deadlines, and multiple tasks.
Handle a variety of tasks and adjust to changing priorities while managing deadlines, ensuring timely completion of tasks.
Maintain open communication between team members, stakeholders, and project managers.
Attend and report from meetings, ensuring actions that arise are progressed and further actions are communicated as required.
Work closely with the global senior management team.
Ad hoc administration, including compiling expense reports, managing travel for the wider team, organizing events.
Key requirements
Proven experience in a corporate environment as an EA/PA, or in a similarly high-level administrative role.
Problem-solving skills: Ability to adapt to changing priorities and handle a variety of tasks with flexibility.
Excellent organization and time management skills.
Strong communication and interpersonal skills.
Ability to manage multiple tasks and prioritise effectively.
Proficiency in Microsoft Office Suite and other relevant software.
Proactive, detail-oriented, and capable of working in a fast-paced environment while maintaining a high standard of work.
